Check your Microsoft access

Sign in with your work or school Microsoft account. Open Copilot in Outlook or the Microsoft 365 Copilot app.

Test it with: “List my unread Outlook emails from today with the sender and subject.”

If Copilot cannot access your inbox, return to the options above and choose a different setup.

Organise your Outlook inbox

Create the 14 approved names below as Outlook categories. Categories organise your emails, while Outlook rules automatically sort predictable messages such as invoices, newsletters and client emails.

Run the inbox briefing

Review unread inbox messages received since the previous run. Group them into exactly these urgency groups: Urgent today, Response needed, Action required, Waiting, and No action.

Urgent today means a stated deadline or material customer, financial, operational, or legal consequence within 24 hours. The word “urgent” alone is not enough.

For every email, show: sender, subject, a one-line summary, what the sender wants, deadline (or “Not specified”), urgency group, a one-sentence reason, and one approved Outlook category. Draft a warm, professional reply under 80 words for every message that needs a response today.

Use only these exact organization names; do not invent, rename, merge, or correct punctuation:

Schedule the prompt

  1. Send the reviewed prompt in Microsoft 365 Copilot Chat.
  2. Hover over it and select Schedule this prompt.
  3. Choose weekdays at 8:00 AM, runs and notification, then save.
  4. Manage it from … → Scheduled prompts.
